The Texas Exes, the alumni association for The University of Texas at Austin, announces the immediate opening for the full-time, non-exempt position of Communications Administrator.Position Overview The Communications Administrator is super organized, forges friendly working relationships based on trust, and communicates well. The ideal Communications Administrator has a knack for managing up and proactively solving problems. The Communications Administrator keeps the wheels of the communications department turning at all times and is eager to learn and develop their career in the field. The Communications Administrator, who reports to our Producer, is a crucial piece of a robust multimedia communications department. The Texas Exes business includes a growing scholarships department, a travel department, a career-services operation, a membership department, a student operation, and more than 149 chapters and networks worldwide. Each of these departments and most of the chapters and networks rely on the (very talented and hardworking) creative team to get the word out on what they're doing. Your job is to support the communications team and be ready to jump into multiple projects at various stages. We need a reliable person to own various administrative tasks daily, and someone who wants to challenge him or herself creatively. Major Job Functions● Generate HTML emails on behalf of our 149 chapters and networks● Coordinate with the chapters and networks team to take copy submitted by volunteers and mock up in HTML for review within two business days● Compile the Alumni Notes sections of the Alcalde magazine, including Class Notes, Obits, Alumni Books, and Babies.● Own administrative tasks like bulk mailings, managing archives, meeting scheduling, among others. ● Work with communications team on a variety of special projectsEssential Job Requirements● Organized. Organization. Organizationism. Organizeability. Organizeaphilia.● Ability to know and meet multiple deadlines daily.● Must be likeable and reliable. Must build trust well. Must be accessible and proactive.● Solid communications skills: writes cogent, succinct emails; can summarize issues well; can write in magazine style, some familiarity with AP style.● Ability to re-prioritize and work quickly on occasion.● Ability to attend occasional evening and weekend events.● Exudes a friendly, collegial demeanor. Is approachable and responsive.● Prefer UT degree and experience with project management or project coordination.Other Helpful Skills● Values collaboration, give-and-take, and giving and getting constructive criticism.● Able to discern when he or she is authorized to make a decision, and when it needs the department vice president or other leadership involved.● Truly revels in attending to details.● Familiarity with the online project management tools and software, such as Google Apps or Basecamp. Basic knowledge of HTML. Knowledge of CMSes also a plus, such as WordPress.
